Feature

Group Management & Access Codes

Spotix smart access codes let organizations control exactly who enters an activity, how many teams and devices are allowed, and when access expires. Each code includes a direct link in multiple languages, a downloadable QR code, a printable player card, and a customizable onboarding survey that collects data, without requiring an app download.

Everything controlled from one place

An access code is much more than a password. It's a management tool that gives you full control over who participates, in which language, and on which route. All from the management dashboard, no code and no app required.

Control

Smart access codes with rolling expiry

Create an alphanumeric code for each group with team limits, devices per team, and rolling expiry. The expiry starts only when the team actually joins, not when the code is created. Enable or disable codes with one click.

Languages

Direct link in any language with QR

Each access code generates a unique link with language, route and code embedded. Choose from the supported languages, download a QR code, and send it to the group.

Print

Custom printable player card

A5 or A4 card with instructions, QR, access code, logo and branding. Edit the steps, add tips, and print directly from the browser. Perfect for handing out at reception desks.

Data

Onboarding survey for data collection

4 customizable questions: team size, visitor type (Falk model), group composition and first visit. Enable or disable each question individually. Answers are saved and appear in analytics.

Zero Friction

Instant Entry (Auto-Join)

Enable Auto-Join to bypass registration screens entirely. Visitors scan a QR code and enter the activity instantly. The system automatically generates a random team name and deducts a use from your access code quota. You get the full analytics, tracking, and capabilities of a smart access code, with absolute zero user friction. Perfect for museums and audio guides.

Isolation

Separate Leaderboard per Group

Enable per-code filtering, and each group sees a clean leaderboard showing only their own teams, as if they're the first ones playing. Same activity, different groups, no need to duplicate anything.

Frequently Asked Questions

How do access codes work and what can be limited?

A Spotix access code is a unique alphanumeric code that participants enter when joining a team building activity or tour. Each code defines a maximum team limit, allowed devices per team, and a rolling expiry that starts counting only when the team actually joins. Operators can enable or disable codes with one click.

How do you send a direct link in a specific language?

The sharing panel generates a direct link that combines the access code, selected language, and routing for parallel routes in one URL. Choose from the supported languages, click copy, and send. The system also generates a downloadable QR code image that can be placed on physical signs or presentations.

What is included in the printable player card?

The player card is an A5 or A4 printable sheet containing step-by-step entry instructions, a QR code, the access code, and your organization's branding. You can edit the steps and print directly from the browser. It is perfect for fast onboarding at museum reception desks and large corporate events.

How does the onboarding survey collect data?

The onboarding survey appears to participants right after joining, before the game begins. It collects data through 4 toggleable questions: team size, visitor type based on the Falk model, group composition, and first visit. Answers are saved instantly and appear within the analytics and insights reports for your activity.

Do participants need to create an account to join?

No, entry is completely instant with zero registration. Participants scan a QR code and join directly from their browser, without downloading an app. Additionally, operators can enable Auto-Join mode, which skips all detail entry screens and drops visitors into the activity in under a second.

Do I need an access code to run an activity?

No. Spotix activities can run with fully open access, without any access code at all. Anyone with the link can join and play. Access codes are designed for organizations that need control over who enters, how many teams are allowed, and when access expires. If you are running a closed event or a ticketed tour, an access code gives you those tools. If not, simply share the link.
